Tip #1: Patience
How long has it been since you sent the email? A few days? Everyone is busy especially if you are waiting on a recruiter to respond to your inquiry on job status. It takes time for the company to interview people and make decisions, especially if the hiring manager is trying to get the final budget approved. Or, a Sr. Manager may need time to get funding on a project. Don’t get impatient, if the subject of the email is not time sensitive, give it a few more days before you follow up.
Still haven’t heard back? Remember we all take time off. The decision-maker may be on vacation or extremely busy. Based on the topic, you may email somebody else in the company, like the hiring manager rather than the recruiter.

Tip #2: Use the Right Subject Line
So, it has been a week since you sent the email, what next? Regardless if it’s the original email or the follow up email, the subject line is critical. The right subject line can determine if your email gets opened, and how fast. If possible, Emails with “ Action Required”, “Quick”, or “Reply Needed” in the subject line are more often opened as people don’t want to miss an important deadline. Also, try to create a sense of urgency by using “today” or “tomorrow.” Use concrete numbers and times when applicable.
Furthermore, if it is a follow up email, always reply to the latest email thread instead of creating a brand new email. When people see it as a response to an email, they tend to open it faster.
Tip #3: Purpose & Personalization
Clearly state the purpose. Be straightforward with your follow up intentions right off the bat. For example, instead of asking “is the project in good status”, try, “what roadblocks are preventing you from completing the project on time?’. With specificity, your recipients can better help you achieve what you need and you won't waste their time.
Strike a personal connection or a common interest with the recipient. This helps them contact or remember you if you don’t already have a close relationship with them. Doing so will help jog their memory and make it easier for them to respond.
Tip #4: K.I.S.S. (Keep it simple, silly)
Keep it simple. Be clear and to the point regardless if it is the original email or the follow up. Be up-front about what you are looking for and saying what you actually want. All of us are busy, we don’t have time or want to read a lengthy email. For example, you need information, ask what you need, when you need it by, and get to the point (i.e., status or update, or whether we got a job).
